 The Position

The School Administrators of Montana (SAM) seeks an outstanding leader to serve the organization in the position of Director of Operations-Finance, Membership, Conferences.  Executive Director, Dr. Kirk Miller, invites applications until filled with first review of applicants scheduled June 1, 2021.


Qualities and Qualifications

  • Bachelor’s Degree in a related field of study preferred
  • Experience in non-profit business operations preferred
  • Experience in membership development preferred
  • Experience in conference planning preferred
  • Excellent oral and written communication skills with an ability to listen and respond
  • A high work ethic and recognizes, respects and utilizes the individual talents of others
  • Experience in building strategic alliances with groups and organizations
  • Understanding of legislative and political processes
  • Interpersonal human relationship skills that inspire the confidence, respect and trust of all with whom the Operations Manager interacts
  • Skills required to maintain an effective working relationship with leaders inside and outside the Association and work in a positive manner with all members of the educational family
  • Ability to project a professional image of the energy and vitality necessary to represent, promote and support the unique needs of SAM and its affiliate members
  • Technology literacy as it relates to organizational management and services, web and cloud based strategies

 Key Responsibilities

SAM is seeking a leader experienced in the following duties and responsibilities:

Finances of SAM and Affiliates

  • Revenue development
  • Payroll completion per month and quarter
  • Budget development
  • SAM Business partnerships
  • Assist the Executive Director in the area of development with respect to improvement of services to SAM Business Partners and their services made available to SAM members
  • Management of Investments
  • Fiscal oversight of grants and private, state and federal programs
  • Management of 3rd party vendors providing services to districts
  • Assist with the fiscal operation of the Association and its affiliates in the areas of budgeting and account management
  • Manage receivables and accounts payable
  • Prepares invoices to be paid
  • Assist in financial tracking for tax forms and work with accountants on annual 990 tax return preparation
  • Assist Executive Director in budget proposals
  • Prepare the annual budget for consideration by the Budget Committees and the Boards of Directors
  • Prepare bank deposit and reconcile conference/membership payments


  • Membership drive
  • Accounting for state and national affiliate membership (e.g. transmittals to national organizations - AASA, NASSP, NAESP, CoSN, CASE)
  • Membership reporting for SAM and Affiliates as well as MTASCD
  • Retains membership and strengthens recruitment strategies
  • Promote SAM membership and assist affiliates with their membership drives
  • Recruits new/potential members
  • Maintain membership database for 1100+ school administrators
  • Performs administrative tasks in order to compile, analyze and process membership applications and payments, and coordinates membership renewals
  • Updates membership data on website and in other functional systems
  • Maintains and updates vacancy lists
  • Provides a high level of customer service including building strong relationships with members, non-members. Responds to inquiries and requests.
  • Create and manage online evaluation surveys

Conference Development

  • Collaborate with SAM and Affiliate leadership in developing conference theme, goals, and agenda to meet the needs of members
  • Site contracts, speaker engagement agreements, site management, exhibitor management, member services related to conferences
  • Coordinate SAM Business Partners sponsorship, participation and resource development for events and conferences
  • Develop and promote sponsorship opportunities for SAM conferences and events
  • Coordinate all arrangements (planning and financial) for SAM and affiliate workshops and conferences
  • Compile and maintain database of registrations, compose flyers, brochures, programs, send invoices, log payments, send 2nd notices, work with hotels, registration desk
  • Compile a database recording recertification credits
  • Report annually to OPI on issued recertification credits from SAM
  • Coordinate activities associated with the annual MCEL convention


  • Perform other duties as directed by the Executive Director and/or the SAM Board of Directors

Contract Provisions 

The Director of Operations- Finance, Membership, Conferences is a 12 month, full-time, exempt position working under the supervision of the Executive Director.  Compensation is commensurate with the duties of the Director of Operations- Finance, Membership, Conferences, with annual salary range between $58,000 and $62,000 depending on experience and qualifications.  SAM provides a comprehensive benefits package (15% of salary for purchasing the benefits that meet the employee’s needs, 10% of salary contributed to an IRA retirement annuity, and Vacation & Sick Leave per the SAM Employee Handbook).

The Organization    

The School Administrators of Montana is composed of over 1100 active school administrators, each of whom is a member of one of the six affiliates of SAM – superintendents (MASS), secondary principals (MASSP), elementary/middle school principals (MAEMSP), special education directors (MCASE), county school superintendents (MACSS), and education technologists (META).  Each of the affiliate members are also a part of regional sub-groups throughout the state.  In addition to the active members, SAM membership includes retirees, associate members and aspiring members.

SAM governance is provided by a board of directors consisting of affiliate leadership.  A president, past president, president-elect, and the executive director comprise the executive committee.

SAM is a 501(c)(3) non-profit association with an annual budget exceeding $1.2 million, reflecting a strong focus on the association’s core purpose and values.
